Governance

All administrative, academic, and financial responsibilities of the Center for Continuing Education & Outreach Programs (C-CEOP) shall be handled by the Head of C-CEOP, who shall serve as the single Point of Contact for the external as well as internal stakeholders. The Head, C-CEOP is appointed by the Director, IIIT Allahabad, through an official order, for a fixed tenure not exceeding three (3) years.

The Head, C-CEOP, is responsible for the effective governance, coordination, and implementation of all the Continuing Education and Outreach activities as mentioned above, under the mandate of the Center.

The “Center for Continuing Education & Outreach Programs (C-CEOP)” will consist of the following authorities:

One Head of the Department and One Head of the Other Center- Members, for a period of ONE year, by rotation, as nominated by the Director

One expert from Academia not below the rank of Professor, preferably from INIs or reputed/ranked Institute/University

One expert from Industry/Corporate not the below the rank of CXO/Manager

Role and Functions of the Board

1.

To formulate, review, and recommend policies, guidelines, and operational frameworks for all activities handled by C-CEOP

2.

To meet at least once in every three months or as an when the need arises to review the progress of degree/ non-degree programs, new program proposals to be undertaken in immediate future for effective implementation.

3.

To consider the proposed programs and recommend them for consideration of the Director/concerned statutory bodies, as required, through Head-C-CEOP.

4.

To monitor and review the academic model of the program right from curriculum contents, delivery, assessment etc., from a quality assurance perspective

5.

To consider and approve the budget for the programs, expenditure, earnings, revenue distribution, in general, ‘financial/sustainable revenue model’ for the program and recommend it for consideration of the Director/concerned statutory bodies as required, through Head-C-CEOP.

6.

To decide on the share of the amount payable to C-CEOP and the faculty/staff involved in each of the academic programs, as honorarium/remuneration. The decision of the BCD in this regard will be final upon approval of the Director.

7.

To periodically review the functioning of C-CEOP and suggest modifications to ensure academic quality, financial sustainability, and institutional impact.

8.

To review the guidelines set for the conduct of the programs once in every two years or early as per requirement and submit the same for approval of the Director.

9.

To arrange for a third-party review/audit of the Center activities, in terms of its total performance assessment and recommend corrective measures for the sustained progress of the Center, to the Director/Statutory bodies.

10.

All recommendations of the BCD, once approved by the Director, IIITA, shall constitute binding policy for C-CEOP and shall be adhered to for all activities under its mandate.

Role of the Head, C-CEOP

The Head, C-CEOP, will:

1.

Coordinate, supervise and facilitate all the activities, as mentioned above in the mandate of the Center, with concerned internal and external stakeholders, involved in a particular program/activity/event.

2.

Act as the principal point of correspondence for all matters related to C-CEOP.

3.

Scrutinize program proposals submitted by program coordinators and place them before the BCD with observations, if any.

4.

Present approved program proposals before the BCD/Senate/the Director/statutory bodies, as applicable.

5.

Coordinate staffing, infrastructure, logistics, administrative support, budgeting, finance & accounts for programs/events/activities conducted under C-CEOP umbrella.

6.

Ensure compliance with rules, regulations, and directives issued by the BoG, the Senate, the Director, and the BCD.

Role of Program Coordinator / Activity Coordinator

Program Coordinator for CEPs

(Degree / Non-Degree Programs)

  • Submit detailed program proposals (syllabus, budget, eligibility, fee, assessment) through the department/center.
  • Coordinate and ensure all quality measures for academic delivery, evaluation, attendance, and timely result submission, for the program under coordination.
  • Ensure a minimum of 80% attendance for degree/non-degree/certification eligibility.
  • Settle all program accounts and submit closure reports within the stipulated timelines.

Activity Coordinator for Outreach Activities-OAs

  • Submit outreach proposals through the Department/Center.
  • Ensure that outreach activities do not adversely affect regular teaching and research duties.
  • Obtain prior approvals for expert engagement, expenditure, and scheduling.
  • Ensure a minimum of 75% attendance for issuance of participation certificates.
  • Submit accomplishment report, activity closure and financial settlement reports to C-CEOP.
